This Privacy Policy explains how TrialConnx (“we,” “our,” or “us”) collects, uses, discloses, and protects information when you use the public TrialConnx website or the authenticated TrialConnx application.
TrialConnx is a product of Vigyanix. This policy covers both the public TrialConnx website and the authenticated TrialConnx application. The information collected by each surface is described separately below.
When you submit the Request Demo form or contact us, we may collect your name, work email, organization, optional phone number, role, study volume, current tools, and the message you provide. The optional phone number is collected through the public marketing website. It is not collected as part of a TrialConnx application user account or profile.
We use this information to respond to the inquiry and arrange a product walkthrough.
The application account record includes your name and work email address. If you use local password authentication, TrialConnx stores a cryptographic password hash. Your customer organization may associate the account with an organization, role, job role, groups, permissions, and study access.
The TrialConnx application does not collect a phone number when an account is created and has no phone field in the user profile. Authentication and audit records may include IP address, browser or device information, timestamps, and account activity.
Authorized users may submit study, site, and investigator information; clinical trial documents such as protocols, contracts, and budgets; feasibility surveys and site-readiness forms; study-team contact lists; activity updates; comments; collaboration notes; scheduling information; and milestone data.
Our customer organization controls the content its authorized users submit to the application. We process that content to provide the contracted services.
Data-scope boundary: TrialConnx is a study operations platform, not a clinical data system. It is not intended to store patient or participant records, protected health information (PHI), clinical data, case report forms, EDC content, or regulated eTMF records. Customers and website visitors must not submit PHI.
When you use the website or application, we may collect browser type and version, IP address, device information, pages visited, time spent, cookies, usage records, authentication events, and similar technical information. We use this information for security, operation, troubleshooting, and service improvement.
Depending on the processing and applicable law, we rely on performance of a contract, compliance with legal obligations, our legitimate interests in operating and securing the Services and supporting customers, and consent when we specifically request it.
We use information to provide and maintain the Services, manage accounts and access, enable collaboration, respond to inquiries and support requests, secure and troubleshoot the Services, improve product functions, generate aggregated or de-identified analytics, and comply with legal obligations.
We do not sell or rent personal information or customer application data.

Information may be stored or processed outside your home country, including in the United States. When required, we use contractual or other safeguards for international transfers.
We retain application account data while the account or customer relationship remains active and for any additional period required by contract, security, dispute resolution, or law. Customer application data follows the customer agreement and the customer’s instructions. Backup copies expire under the applicable backup-retention schedule.
We retain website inquiries only as long as reasonably needed to respond, maintain business records, and meet legal obligations.
Deletion requests may be sent to privacy@trialconnx.com. Because customer organizations control project data and user access, we may route an individual request to the relevant customer administrator.
TrialConnx uses technical and organizational safeguards that include encryption in transit, encryption of sensitive application data at rest, role-based access control, tenant and study-level access restrictions, logging, monitoring, and backups. Internal security assessments are conducted quarterly, with tracked remediation and additional assessments around major releases.
No system is completely secure. Protect your credentials and report suspected security issues. More information is available on the TrialConnx Security page.
Depending on your location and applicable law, you may have rights to access, correct, delete, or export personal data; object to or restrict certain processing; and withdraw consent where processing relies on consent.
Contact privacy@trialconnx.com to make a request. If your information is controlled by a TrialConnx customer, we may refer the request to that organization so it can respond as the data controller.
The Services are intended for authorized professionals and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If we learn that we have done so, we will take appropriate steps to delete it.
The website and application use cookies and similar technologies for essential functions, security, session management, site performance, analytics, and marketing. The public website currently uses analytics, CRM, sharing, and marketing technologies in addition to essential site cookies.
You can block or delete cookies through your browser settings. Some settings may affect website or application functions. See the Cookie Policy below for more information.
The Services may contain links to third-party websites or services. Their privacy practices are governed by their own policies.
We do not use personal information to make decisions that produce legal or similarly significant effects based solely on automated processing.
If a confirmed incident affects personal information, we will notify affected customers, users, or authorities as required by applicable law and our customer agreements.
We may update this policy as our Services and practices change. We will post the revised policy with a new effective date and provide additional notice when required.
